UnitingCare Queensland (UCQ) provides health and community services to thousands of people every day of the year through its service– UnitingCare Health, Child and Family Services, Blue Care and ARRCS (Australian Regional and Remote Community Services).

 

We are currently seeking a highly professional and experienced Executive Assistant to provide administrative and secretarial support to the Chief Executive Officer in an efficient, personal and confidential manner.

 

The Executive Assistant provides management, facilitation and support for various projects as requested.  In addition, the position provides leadership to the administration team in UCQ central office and works as a key team member in the Office of the CEO.

 

Key Responsibilities:

  • Undertakes all tasks and duties to proactively support the CEO to meet day to day priorities by using judgment to pre-empt CEO needs and determine follow up actions including: diary management, appointment arrangements; travel arrangements; email management; correspondence management; OCEO file maintenance; CEO stakeholder management
  • Communicates with a broad range of stakeholders on behalf of the CEO, including leaders and staff of the Uniting Church and its agencies
  • Organises and coordinates functions, events, workshops and meetings
  • Prepares and collates meeting papers, including, prepares agendas, records and produces minutes of meetings, reviews supporting documents, prepares and collates speaking and issues briefs, identifies and takes action on action items arising from meetings
  • Conducts research and sources information as requested by CEO
  • Works as part of the OCEO team to ensure seamless support for the CEO, including working to continuously improve CEO office systems and business processes for the efficient and effective delivery of executive services
  • Provides leadership to the administration staff at 192 Ann St, including leading collaboratively to develop standardised policies and procedures for use across the team
  • Works closely with other EAs and administration staff to ensure adequate coverage across executives
  • Manages CEO’s social media profile, in conjunction with Corporate Affairs

The ideal candidate will have extensive experience providing executive support and assistance at a senior executive level in a large organisation. You will have a high level of proficiency in all of the Microsoft Office suite products and social media sites, as well as outstanding planning, organisation, time management and communication skills. We are looking for a team player who can contribute to the overall view and values of the CEO and the OCEO team.
